Before you respond

Save the complete advert with its date, including images, fees, deposit, availability, provider name and contact details. Check who will show the home, who will sign the agreement and where the payment would go. Ask for missing terms in writing.

Classify the home by its actual facilities. A self-contained home normally has its own entrance, kitchen, toilet and bathroom. 1. Paying before a viewing or written terms

A reservation request can look like a way to secure a scarce home. Money paid before you know the provider, property, agreement and refund conditions leaves you with less information and less control.

Safer next step: request a normal viewing or a verifiable alternative, ask who owns or manages the home, and keep the written payment reason. A refusal to explain the address or contract is a pause signal. The rental process puts verification before a complete application.

2. Treating the advert label as proof of the home type

“Studio”, “apartment”, “own place” and “independent” can mean different things in adverts. A shared bathroom or kitchen changes the questions about privacy, rent assessment and house rules.

Safer next step: ask who uses the entrance, kitchen, toilet and bathroom. Compare the answer with the floor plan and viewing. Record every shared facility before comparing the price with a self-contained home.

3. Comparing base rent and forgetting the full month

A low base rent can lose its advantage when service charges, utilities, insurance, travel, parking or furniture are added. The calculation below is a planning example:

€950 base rent + €200 charges and utilities = €1,150 per month

4. Sending every document at the first request

A complete document pack may reveal more personal information than the selection stage requires. The landlord or intermediary should explain the criteria and the information needed for that stage.

Safer next step: ask what each document proves, who receives it, how long it is kept and whether a redacted copy is enough. Cover unneeded identifiers. Keep a private list of the file, recipient, date and purpose. Keep viewing, application and contract stages separate with the rental document set.

5. Signing before checking the agreement

An attractive home can make a missing charge or unclear duration feel easy to accept. Read the parties, address, base rent, other charges, deposit, start date, duration, notice, repair duties, access, house rules and inventory.

Since 1 July 2023, government information has required a written agreement and information about tenant rights and duties. For agreements starting on or after that date, the deposit may be at most two months of base rent. A rental contract review orders the terms and questions that deserve a written answer.

6. Treating approval as proof of registration

A landlord can accept your application while the municipality still needs to confirm registration conditions for the address and expected stay. A BSN, a signed contract and municipal registration answer related questions with different landlord or municipality.

When a concern needs a pause

Stop and gather the written facts when:

  • the person asking for money cannot explain the property, agreement or refund terms;
  • the price changes after you ask for a contract or cost breakdown;
  • the selection criteria are hidden, inconsistent or unrelated to the home;
  • a complete identity or income file is demanded without a stated purpose;
  • the contract omits parties, address, rent, deposit, term or signatures;
  • the registration promise comes from an advert while the address evidence is missing.

One concern may have an innocent explanation. A pattern of missing answers deserves a slower decision and, where needed, help from the municipality, Huurcommissie or another qualified source.

Aftercare: keep the rental record current

When an answer arrives, add the date, sender, exact wording and document that supports it. Update the budget when a charge changes, update the contract notes when a clause is explained and keep the handover record with the signed agreement. Remove duplicate copies from your working folder only after you know which file is the final record.

At handover, record meter readings, keys, access devices, inventory and visible damage. During the tenancy, save repair requests, replies, invoices and annual service-cost statements in the same property file.
